Approximately 75% of the work can be completed remotely from anywhere in the state.
The position requires being onsite in Damariscotta, ME usually one day per week.

Summary:
We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee the daily administrative functions of our office, manage day-to-day financial transactions, and maintain accurate and up-to-date financial records.
This position will play a crucial role in ensuring the smooth functioning of the workplace, coordinating various administrative tasks, and ensuring compliance with accounting standards and regulations.
The ideal candidate will be a proactive, resourceful, and effective communicator who can handle a wide range of responsibilities.
Responsibilities:
Office Administration:
Maintain and organize office supplies, equipment, and facilities.
Maintain and organize digital and physical records, files, and documents.
Oversee the office budget and expense tracking.
Ensure compliance with data protection regulations and document retention policies.
Ensure the office environment adheres to health and safety regulations.
Implement and update safety protocols and emergency procedures.
Communication, Vendor, and Supplier Management:
Serve as the primary point of contact for internal and external inquiries.
Handle incoming and outgoing correspondence, including emails, calls, and mail.
Liaise with vendors and suppliers for business services and supplies.
Monitor service quality and track completion of contracted services.
Team Support:
Schedule meetings, appointments, online conferences, and meeting spaces.
Coordinate and plan company events, meetings, and conferences.
Coordinate travel arrangements and accommodations for staff as needed.
Assist with onboarding and offboarding processes for new and departing employees.
Accounts Payable:
Process invoices and payments promptly.
Reconcile vendor statements and resolve discrepancies.
Maintain accurate records of accounts payable transactions.
Accounts Receivable:
Prepare and send customer invoices.
Monitor and follow up on outstanding invoices.
Post and allocate customer payments accurately.
General Ledger Maintenance:
Record and classify financial transactions into appropriate accounts.
Reconcile bank statements and credit card transactions.
Prepare journal entries and maintain the general ledger.
Financial Reporting:
Assist in the preparation of monthly, quarterly, and annual financial statements.
Generate financial reports and provide analysis to support decision-making.
Tax Compliance:
Maintain organized records for tax purposes.
Assist in preparing and filing sales tax and other regulatory reports.
Payroll Processing:
Ensure accurate and timely payroll processing.
Calculate and record payroll-related entries.
Financial Analysis:
Assist in budget preparation and variance analysis.
Provide insights and recommendations to improve financial processes.
Record Keeping:
Maintain organized and efficient record-keeping systems.
Ensure all financial documents are properly filed and stored.
